아직도 90년대 스타일로 프레젠테이션을 하고 계신가요?

21세기 비즈니스는 엄청난 발전을 해 왔습니다. 우리는 이제 클라우드 컴퓨팅을 통해 동료나 사업 파트너들과 간편하게 파일을 공유하고 생성할 수 있습니다. 또, 무선 인터넷과 스마트 폰의 급격한 성장으로 사무실과 즉각적인 소통도 할 수 있으며, 이미지와 동영상의 발달은 극에 달아 수 천 마일 떨어져 사는 가족들과도 영상 통화를 통해 서로를 볼 수 있게 되었습니다.

하지만 이러한 기술적 발전에도 불구하고, 오늘날 이루어지는 비즈니스 프레젠테이션들은 아직까지 90년대 스타일을 벗어나지 못하고 있는 것들이 태반입니다. 발표자가 하고자 하는 이야기를 훨씬 이해하기 쉽도록 도와줄 수 있는 이미지는 거의, 심지어는 전혀 찾아 볼 수 없고, 프레젠테이션에 동영상을 삽입하는 발표자는 손가락으로 겨우 꼽을 수 있을 만큼 극히 드뭅니다. 동영상은 아예 사용하지 않거나, 그나마 사용되는 것도 프레젠테이션 내용과 관련없는 것들이 전부입니다.

많은 사람들이 파워포인트를 비난하지만, 사실 파워포인트는 잘못이 없습니다. 파워포인트는 지난 십년간 이미지와 동영상을 훨씬 더 쉽게 사용할 수 있도록 업그레이드 되어 왔기 때문입니다.

이미지도 별로 없고, 동영상도 없는 프레젠테이션들을 보다보면, 기술은 계속해서 진보되어 가고 있는데, 90년대에 교육 받았던 업무 관리자들은 여전히 그 시대에 머물러 있는것 같다는 생각이 듭니다.

이렇게 전형적이고, 지루한 텍스트 위주의 프레젠테이션을 만드는 발표자들은 갖은 변명과 핑계거리를 늘어 놓습니다. 그 중 제가 가장 많이 들었던것은

“우리 회사의 고객들은  새로운 스타일의 프레젠테이션을 좋아하지 않아요”  였습니다.

이건 완전 말도 안되는 거짓말입니다. 세대를 막론하고 어느 누구에나 물으면, 백이면 백 전부 지겹고 고리타분한 방식의 프레젠테이션을 싫어한다고 대답합니다. 여러분의 고객도 그들 중 하나입니다. 그런데 여러분은 왜 여전히 고리타분하고 지겨운 프레젠테이션을 고집하고 계십니까?

제 개인적인 견해로는 이런 문제의 일부가, 90년대에 교육을 받았던 관리자들이 21세기형 비즈니스 사고에 부응하지 못하는 점에 있다는 생각이 듭니다. 즉, 이 분들은 여전히 리스트화 된 사실, 수치 그리고 세부 사항들만이 제품 판매를 위해 필요한 것이라고 믿고 있기 때문입니다.

인스턴트 메세징, 케이블과 위성 티비 그리고 원격 회의 및 스마트 폰이 활성화 되어 있는 세상에서, 여러분의 고객들이 주의를 기울이는 시간은 급격히 짧아지고 있습니다. 과거 평균적으로 한 사람이 사물 하나에 집중할 수 있었던 시간이 대략 15분 정도라고 생각했다면, 현재 그 수치는 5분이 채 되지 않을 정도로 줄어들었습니다.

여러분의 고객이 지금 알고 싶어하는 것은 “여러분 회사의 제품이나 서비스가 자신에게 얼마나 이익이 될까?” 입니다. 여러분은 최대 10분 가량의 시간동안 고객에게 이에 관한 메세지를 전부 전할 수 있어야 합니다. 만약 10분을 넘기신다면, 정말 죄송한 이야기이지만 여러분은 그 고객을 잃게 될 것입니다.

여러분의 고객이 원하는 21세기형 프레젠테이션은, 자신에게 유용한 정보를 주면서도 “그것이 (제품 또는 서비스) 내게 얼마나 이로울까?”라는 질문에 답을 줄 수 있는 것이어야 합니다.

다른 세부 사항은 고객에게 자료로 전해져야 합니다. 이 자료에는 고객이 원한다면 나중에 살펴볼 수 있도록 고루한 기술적 세부사항과 모든 데이타들이 담기게 될 것입니다.

그러니, 제발 90년대에서 깨어나 21세기에 동참하시기 바랍니다. 리스트화된 사실과 수치 그리고 텍스트로 가득한 프레젠테이션은 이제 그만, 좀 더 창의적인 프레젠테이션을 만들어 보시기 바랍니다. 여러분의 슬라이드를 제작해 줄 수 있는 디자인 팀을 따로 두어 가능한 적은 텍스트와 시각적으로 어필할 수 있는 프레젠테이션을 만들고 싶다고 요청하십시오.

사람들은 종종 제게 “어떻게 하면 스티브 잡스처럼 프레젠테이션을 할 수 있죠?”라고 묻곤 합니다. 대답은 간단합니다.

첫 번째, 텍스트를 아예 담지 않거나 최소의 분량만으로 프레젠테이션 내용과 관련된 시각적인 슬라이드를 만드세요.

두 번째, 연습하고 연습하고 또 연습하세요.

방법은 이렇게 정말 간단하답니다.

Sources of Inspiration

To always be seeking to make better and better presentations I spend a lot of time surfing the internet looking at photography blogs. Not only do they give me ideas for slide design but they also give me inspiration to keep improving my own photography habit – which I confess is strictly as a amateur.

One of the best blogs out there is Scott Kelby’s “Photoshop Insider” blog. I have been a big fan of Scott’s blog for many years now and it is full of amazing tips, tricks and ideas that any presenter can learn from.

The Power Of Real Visuals – A story about Concorde

Today, on the Discovery Channel there was a documentary about Concorde’s last flight and the accident in 2000 that happened at Charles De Gaulle Airport. During the documentary, one British Airway’s Concorde’s pilots told the story of how Concorde was accepted to JFK Airport in New York – an airport vital to the success (and future) of Concorde.

Concorde was not a quiet plane. In fact Concorde was very noisy. I was very lucky to see Concorde several times landing at Leeds / Bradford Airport nearby the house I grew up in and I remember a staggeringly beautiful airplane that looked so graceful. But WOW! was it noisy. Because of this noise, there were many protesters and demonstrations at JFK Airport demanding that the airport refuse permission for Concorde to land there.

When Concorde flew in to JFK Airport shortly after a temporary ban was lifted in 1977, a press conference was called. Captain Brian Walpole of British Airways reported that the American media were very hostile towards the Concorde team. The press conference was being held in a hanger at JFK and shortly after the conference began Concorde was towed into the hanger behind the gathered media. As Concorde came in, the media and public went deathly quiet. All you could hear were people saying how beautiful the plane was. Shortly after this event Concorde was accepted and the vital link between London and New York was established and ran right up to the retirement of Concorde in 2003.

Captain Walpole states that had Concorde not come in to the conference when it did, Concorde would never have flown in to JFK and quite likely we would never have seen Concorde for the many years we did.

Never underestimate the power of real life visuals in your presentations. Words do have power, but if you can, and if the opportunity is there, alway use a real live product to show your audience. It carries more power than just spoken words.

Be Curious…

On my recent trip to Ireland I became fascinated with the posters and billboards, as well as the scenery and nature. and this got me thinking. How can we improve our slide design and thinking when it comes to presenting.

One of the best ways to get inspiration for designing our slides it to just look around our everyday environment. Unfortunately, this can become a bit boring, particularly when our local environment does not change very much.

However, most people are fortunate enough to travel, whether that is a weekend away with our friends or family, or if you are very fortunate you may have to opportunity to travel abroad. Opportunities to travel to other countries can give you bundles of chances to gain inspiration for your next presentation.

Recently, I have been doing an environmentally friendly presentation course with a large company here in Korea. On my trip last week I had a stop in Amsterdam and I noticed that there where hundreds of wind turbines (see picture below) This gave me the opportunity to take some pictures that I can use in my slides later this week.

So whenever you travel, wherever you travel, always carry a camera with you and seek out opportunities to improve the way you design your slides and your ideas.

Simplicity Always Works

One of the biggest problems in the world of presenting today is that too many people put far too much information and detail into their slides. When you do this, you loose the focus of your presentation, and this ultimately leads to your audience becoming bored and finally to fall asleep.

Take a look at the video below from Holiday Inn Hotels. The wonderful simplicity of the advert would make brilliant presentation slides. There is an image (a relevant image) and just two simple words.



The picture captures the emotion and the words create the message. There is nothing complex, there are not bullet points, lists, charts or graphs. Just a simple image with a simple message. And that is all you need to do to create amazing presentations today. Sadly, too many presenters do not do this and that is why presentations today have such a bad name.

Amazing Animation on a whiteboard

Too often when we think “presentation” we thing PowerPoint or Keynote, yet these fantastic pieces of software are not the only way to deliver a great presentation. Other ways could include the use of a flip chart, a white board or just you standing in front of your audience.

Below, is a great example of how you could use a whiteboard (or a flip chart) to create an amazing presentation.


Using a little creativity and daring can really transform your presentations into something wonderful. You really do not need to use PowerPoint or Keynote all the time

You do not have to be artistic. I cannot draw at all, yet I always have a go drawing something on the board, my poor artwork creates some very funny moments and this helps to maintain my audiences’ interest.

So go on have a go – try something different.

The Dangers of PowerPoint

Over the last few days, there has been much comment of the slide that was featured in the New York Times newspaper regarding the slide that Gen. Stanley A McChrystal, leader of the American and NATO forces in Afghanistan was shown when took over the leadership in Afghanistan.

Gen. McChrystal was heard to comment “when we understand that slide, we’ll have won the war”.

There are far too many problems with this slide to go in to here, but here is my take on the whole debate:

PowerPoint and Keynote are tools that can be used to enhance our presentations, and can both be useful in conveying our message in a stronger and more friendly manner than by words alone. However, over the years our presentation software has become the main focus of our presentation, and that is where we are going wrong. PowerPoint and Keynote were never developed to be the main focus of the presentation. They were developed to help the presenter.

The above slide is creating news now, but I have sat through hundreds of presentation with slides similar to this one. Presentations where the text was too small and there was far too much detail in the slides. This never enhances our message, this always confuses our message and our audience will just turn off.

During the Battle of Britain in World War II, there was no PowerPoint or Keynote software, and so the British airforce used a table, with models for aircraft and a map to follow the war. This not only simplified a very complex battle, it also enabled the leaders of the war to fully understand what was happening in a clear and accurate way.

While today we may not have access to tables with maps and models, we do have access to white boards and flip charts. When we are faced with describing a very complex situation, the use of flip charts and white boards can make the explanation much easier for our audience. We must always remember, that when it comes to presenting, PowerPoint and Keynote are just one kind of tool from many different kinds. The key to a good presentation is simplicity, not detail.

5 Things you can do to improve you presentations instantly

It seems everyone loves lists, and so in that spirit here is my top five list of things you can do to improve your presentations instantly:

1. Move Around

This one I have mentioned before, but it is so important when you are presenting to an international audience. Staying behind the lectern tells your audience to are nervous and that you are not used to doing presentations. Essentially, you tell your audience that you are an amateur. To make yourself look more confident, come out from behind the lectern, walk around on stage. Now you do need to be careful. Walking up and down aimlessly can cause you to distract your audience, the way to do this is to move to the left of the stage and speak to the audience members on that side, then move to the right (or centre) and speak to the audience there. This shows confidence and also helps you to connect better with your audience because they feel that you are speaking directly to them, and not to the back wall of the room.

2. Ask Rhetorical Questions

A rhetorical question is a question you so not expect to be answered. For example:

” When we developed our new cell phone we came across the problem of consumer expectation. How did we overcome this problem?”

What you are doing here is asking your audience a question, and then answering the question yourself. In English a rhetorical question is not answered, and you need not worry about your audience shouting out an answer as the trick is to answer your question immediately after you ask it. If you pause too long, there may be some members of your audience who will answer the question. So be careful, ask the question and provide the answer immediately.

Asking rhetorical questions involve your audience, it makes your audience feel that they are part of your presentation, and this can only help you deliver an interesting and memorable presentation.

3. Use Relevant Images

I often talk about using images instead of bullet points on this blog, but there is an important warning here. If you use images that are not relevant to the word or words you are using then the impact of your image is lost. Make sure that the image you use is relevant to your subject or point.

4. Speak In A Conversational Style

Too often we make our presentations too formal, this perhaps is a consequence of the differences between English and Korean. English is a neutral language because it does not have a formal and informal style. If you meet meet President Barack Obama you can say “Hello Mr Obama”. If you meet a little child called Sarah, you can say “Hello Sarah”, there is little difference. However in Korean there are three distinct styles of language depending on who you are speaking to.

To be more engaging with your audience and for your audience to feel part of your presentation, you need to speak to them as if you were speaking with a friend. Always look at your audience as your friends, they want you to succeed, not fail. They are your friends. A simple way to do this is to use pronouns such as “I”, “you” and “we”. Using these words softens your speaking style and makes for a more conversational presentation.

5. Keep Your Presentation Short

Here is an endemic problem. When we are asked to do a presentation, one of the questions we ask is “how long do I have?” We then prepare a presentation that lasts as long as the time we are given. If we are given sixty minutes, for some strange reason we thing we should speak for sixty minutes. This is not true. What that sixty minutes means is that we can speak for up to sixty minutes. Therefore if you can communicate your message in thirty minutes, then fantastic! Either your audience can have an extra thirty minutes break (and they will love you for that) or you will have much more time to answer questions.

Either way, your presentation should only last as long as it takes for you to communicate your message, and not a minute more.

BONUS TIP

6. Keep Your Presentation Fresh

Quite often companies have a standard presentation that was created two or three years ago that they use time and time again to introduce their company. Usually this presentation was made by an employee that no longer works for the company and used an old version of PowerPoint. Not only does this presentation look dated, it also looks bad.

If you are asked to do a presentation, and are given a copy of the presentation to deliver, go through the presentation, update old images, upgrade it to the latest version of PowerPoint, or Keynote and check to see if it is as relevant today as it was two or three years ago. There is nothing worse for an audience to have to sit through a presentation that is clearly out of date.

Being aware of your audience’s needs is the single most important factor when it comes to presenting. Too many times a presenter is doing to impress their boss, and they do not care at all for their audience. Your audience can tell this very quickly, and are never impressed. So forget your boss, you are not presenting to them, and really think about what your audience want.
